Adding Teammates to Your Account

You don’t have to run your website and CRM alone. Every account can invite teammates — a business partner, an employee, a marketing assistant — each with a role that controls what they can see and change. This guide walks through inviting someone, choosing their role, and what to expect on both sides.

Where to invite someone

  1. Open your Client Portal and click the Team tab — or, if you’re already working on a site, go straight from that site’s Site Manager → Team tab.
  2. Under Invite Members, enter your teammate’s email address.
  3. Pick a role (explained below) and send the invite.

You can invite up to 25 people at once, and you’ll see every pending invite under Manage Invitations — with buttons to resend (which restarts the 7-day clock) or cancel.

Good to know: the invitation email comes from Growth Automations (noreply@mail.growthautomations.com), not from your own address — tell your teammate to watch for that sender so it doesn’t get skimmed past.

Choosing a role

Role Best for What they can do
Viewer Someone who only needs to see things Read leads, connections, email settings — no editing anywhere
Editor Day-to-day helpers Work leads (their own, ones assigned to them, and unclaimed ones), edit forms, edit pages and content, use email settings — but no webhooks, no campaign approvals, and no deleting records
Account Admin A trusted operator Almost everything: all leads and deals, campaign approvals, webhook endpoints, domains, connections, team visibility. (This is your account’s admin — not Growth Automations staff access.)
Owner You Everything, including granting permissions to others

Two useful details:

  • Only the owner can mint an Account Admin. An admin can invite editors and viewers, but not peers — that’s deliberate.
  • There’s a “Virtual Assistant” preset in the role picker (owner-only). It creates an Editor tuned for marketing help: social connections and page publishing enabled, theme editing and other integrations locked. If you’re bringing on a marketing VA, start here.

What your teammate experiences

They click Accept invitation in the email. If they’re new, they set a name and password right on that page — no separate signup, no confirmation email loop — and land directly in your account’s portal. If they already have a Growth Automations login under that email, they sign in and the invite attaches your account to it.

Invites expire after 7 days; resending issues a fresh link.

What about my sites?

By default, every teammate can see all of your account’s sites and their Site Managers — you don’t need to grant access per-site.

If you want to narrow that down, an owner can now restrict a teammate to specific sites: open the Team tab (Client Portal → Team), expand that teammate’s row, and check Restrict to specific sites. Pick which sites they should see, and from then on their dashboard and navigation will only show those. Leave every box unchecked and they’re back to the default — full access to every site. Only owners can turn this on or change it; admins can see how a teammate is currently restricted, but can’t edit it.

Good to know: this restriction is enforced behind the scenes, not just in the menus. A restricted teammate’s CRM records, site content, and site tools are fenced to the sites you picked — the server and database check the restriction on every request, not only the navigation. One nuance: records that aren’t tied to a specific site (an account-wide contact, for example) are shared across the account, so a restriction narrows which sites a teammate can work in rather than hiding every record.

Quick answers

Can I change someone’s role later? Yes — from the Team tab. Removing someone there ends their access immediately.

My teammate says the invite expired. Resend it from Manage Invitations — that issues a fresh 7-day link.

I invited the wrong address. Cancel the pending invite in Manage Invitations and send a new one.

Does an Editor see everything in the CRM? No — editors see leads they own, leads assigned to them, and the unclaimed pool. Admins and owners see everything. That’s a feature: it keeps a growing team from stepping on each other’s conversations.
